Executive Assistant to CEO & GM

About the role:

We are looking for a highly organized and proactive Executive Assistant to support the CEO and General Manager in administrative and operational tasks. This role is a maternity leave replacement, with an immediate start. The position is part-time (approximately 60–65 hours per month), fully remote, and offers flexible working hours.

Responsibilities:

• Responsibilities:

  • Manage calendars and schedule meetings using Outlook, including sending Zoom links and reminders.

  • Track employee events, birthdays, and vacations, and update calendars accordingly.

  • Prepare and manage Purchase Orders (POs) and proposals for new projects, including follow-up on approvals and document storage.

  • Manage documentation processes (NDAs, LOIs, POs, proposals), including follow-up and filing.Manage invoices for payment and collection: update Excel files, notify employees, track payments, and send regular reports.

  • Monitor and follow up on outgoing emails, pricing offers, client tests, and open action items.

  • Support conference preparation and meeting coordination with partners.

Requirements:

  • Native or equivalent level Hebrew and English (both spoken and written).

  • Proven experience with Outlook calendar management, meeting scheduling and excel.

  • Previous experience in a similar Executive Assistant or administrative role – an advantage.

  • Excellent organizational and communication skills.

  • Strong attention to detail and ability to multitask in a fast-paced environment.
